Creating new tasks (and lists)

Creating a new task is quick and easy — just click on the “+” button in the toolbar to bring up the New Task panel. Alternatively, you can use keyboard shortcut ⌘T (or Ctrl+T on Windows/Ubuntu).

The task caption area supports Natural Language Processing (NLP), which automatically scans for date & time and sets them as start/due accordingly. If you wish to set these details manually, you can press the "down arrow" key on your keyboard, or click on the "Set color, repeat and more" button to reveal these individual fields (and set custom alerts, etc).

Please note that the NLP feature is disabled when you edit existing tasks or list items, to avoid overwriting your custom dates & times.

You can attach files or emails to tasks. Simply drop in file(s) or emails when the New Task panel is visible, and the files will be imported and linked to the task when it is saved.

The Save-To field has a default value of Inbox, which can be erased and changed to any existing projects or contacts. Pagico offers auto-complete for the Save To field, so it’s quite easy to select the desired project or contact.

 

Tasks and Lists

Pagico allows you to easily create tasks, and lists.

Lists are like checklists; they have a List Title, and they can contain one or more list items. Lists can be used for a number of things, such as a checklist, packing list, grocery list, etc. To create a list, you need to go to a container first, click on the "+" button inside the container then choose "New list".

 

Indenting and Outdenting List Items

To indent a list item while writing it, use the keyboard shortcut Cmd + Right Arrow (for Windows and Linux users, use Ctrl + Right Arrow). To reduce the indentation, use Cmd + Left Arrow (for Windows and Linux users, use Ctrl + Left Arrow). To move the currently editing list item up, use Cmd + Up Arrow (Ctrl + Up for Windows and Linux users), or Cmd + Down Arrow (Ctrl + Down Arrow) to move it downward.

 

Editing List Items

To edit an existing list item, simply double click on the list title. List items can have just one date/time (due date/time), or two (start and due date/times). Starting from Pagico 9, a single date input box is provided. This input accepts both a single date and a date range. To enter a date range, just use the hyphen (-) to separate the two date/times. You can also use the date picker to select one or two dates.

Setting Dates and Times

You can use the date picker to select one or two dates. To set just the due date for a task, single-click on a date to make your selection. For tasks that have both the start and due dates, first click on the starting date, then click on the ending date to make the range selection.

You can also enter times, too. Simply make your date selection, then type out the desired time after the date.

Please note: The Natural Language Processing feature is not available when editing an existing task. This is designed this way so that if certain keywords in your task title caused NLP to misunderstand, you can freely edit the title and the due dates without the NLP interfering.

 

Getting Reminders (Notifications)

It is important to be notified when a start date/time or a due date/time occurs. In the task edit mode, click on the Bell icon next to the date field to reveal the alarm selection menu.

The labels indicate the amount of lead time when the alerts should be triggered before the task dates and times. For example, "0m" means alerts should fire at the set dates and times; while "2d" means 2 days before the set dates and times. You can turn on and off your desired alert options by clicking on the buttons.

Please note that you can configure the default alert settings in the Preferences section. The default alert settings will be applied automatically to all of your tasks. By manually setting alert options on individual tasks, you will override the default alert choices.

Advanced Techniques

Turning Tasks into Lists

Technically, tasks are just single-item lists. But since we don't need to give a list title to those single-item lists, Pagico automatically hides the Title field to present tasks in a more compact fashion. But if you want, you can append more items by hovering your cursor over a task, and choose "Add an item" button from the control strip. By doing so, you'll be adding another list item in the same list, and Pagico will reveal the Title field for this list automatically.

Reordering list items and moving items across lists

You can reorder list items by hovering over a list item and dragging the up/down arrow. In the same fashion, you can drag items from one list to another.

Adding List Items in Bulk

If you have a multi-line list, you can paste it into Pagico to create a list in bulk. To do so, follow these steps:

  1. Create a new list
  2. In the new list item prompt, paste in your multi-line list.
  3. Hit ENTER to save.

Converting Tasks into Lists

If you need to expand a single task into a list, you can perform the conversion with just a few clicks. Please note that this feature is only available in Pagico 9.3 or later.
